In teams where requests and deadlines fly around in chat, Matin helps managers not miss things.

All examples use fictional companies and people; briefs and answers are illustrations.

Sales

Keep quote deadlines and discount calls on track

The team

A 45-person wholesaler of commercial kitchen equipment. The sales director tracks quotes from a five-person team, a discount negotiation against a competitor, and a move to a new CRM. Discount talks happen in a private channel.

Questions it can answer

  • Where are we with Company A?
The quote went out on 9/17. The deal is now a competitive bid, with the proposal due 10/2 at 17:00. Sato wrote that the outline is coming right after the holidays.
  • How much discount did we allow Hotel B?
Up to 10%, bundled with a three-year maintenance contract. The source is in the private #discounts channel, so the bot shows it only to managers in that channel.

Engineering

Don't lose sight of external blockers and the release date

The team

A 35-person company building reservation software for restaurants. The engineering manager is shipping online deposits with a payment partner, aiming at a late-night release on 9/29.

Questions it can answer

  • When can we test the payment screen?
The code is done, but testing waits on the partner's sandbox account. Yoshida took on chasing the partner on 9/17, and no one has said the account was issued.
  • How are we doing the release?
The database schema changes, so instead of blue-green the team will switch over in the 9/29 late-night maintenance window.

Customer support

Handle a key customer's outage together with engineering

The team

A 50-person company selling cloud POS to restaurants. After a new release, receipts stop printing at a key restaurant chain. The support lead and the head of engineering each get their own brief. What sales writes about the customer in a private channel reaches only that channel's members.

Questions it can answer

  • What's the status with Company A?
The printer model doesn't work with the new version, so all 38 stores were rolled back to 3.8.1. There have been no calls since 9/17. The permanent fix waits on printer firmware 1.3, expected early next month.
  • Who's on call over the holidays?
Sakamoto and Goto. Sakamoto wrote that the on-call schedule is on the portal.

Marketing

Run trade-show prep with every deadline and dependency in view

The team

A 70-person company selling attendance software. The head of marketing is preparing an October trade show: booth panels, booth staff, invitation emails, and giveaways. The sales manager who supplies booth staff gets the requests that involve him in his own brief.

Questions it can answer

  • When is the first panel draft due?
It moved to 9/24, right after the holidays, because the screenshots from engineering haven't arrived. The booth drawings are due to the organizer on 9/25.
  • Who gets the invitation email?
It was narrowed to companies with 100 or more employees: 312 companies.

Back office (finance, HR, admin)

Month-end and half-year close, in deadline order

The team

The administration department of a 60-person HVAC maintenance company. Its head is running the September month-end and half-year close, payroll, and a move to a cloud expense system in October. HR questions go to a private channel.

Questions it can answer

  • Will payroll go out on time?
Yes. On 9/16 Nishimura wrote that the approver change went through and the transfer is scheduled.
  • List the deadlines after the holidays
Finance's part of the stocktake prep is due Thu 9/24, expense claims close 9/25, and September invoices are due 9/30.

Manufacturing and QA

Track a quality issue and the customer's report deadline

The team

An 80-person stamping plant making auto parts. Line 2 finds holes out of position on a part, and full inspection, production on a spare die, and a corrective-action report (8D) for the customer all run at once. The production manager and the QA manager each get the items that involve them.

Questions it can answer

  • Where are we with B-220?
A worn punch caused it. Full inspection found 38 bad parts out of 1,200, and production continues on the spare die. Press 2 is repaired and restarts on 9/22.
  • What's the fix to stop it happening again?
Punches will be inspected every 30,000 shots instead of every 50,000.
